School Management Software Cost: One-Time, Monthly or Per Student?

5 min read

A school committee usually compares the first number on each quotation. That is the wrong number. One vendor charges once, another charges every month, and a third charges per student. The cheapest first bill can be the most expensive choice by the third year.

The three pricing models

  • One-time: you pay for the software once, then only for hosting and optional support
  • Monthly subscription: a low start, but the fee continues as long as you use it
  • Per student: the bill rises every time enrolment grows

None of these is wrong. Add up three years of each, including SMS and support, and compare those totals.

What changes the price

  • Modules: admission, fees, attendance, exams and results, payroll, accounts
  • Online fee payment through bKash or Nagad
  • A parent or student app, or SMS only
  • Number of campuses and shifts
  • Result formats your board or institution requires

SMS is its own bill

Attendance alerts, fee reminders and result notices all go by SMS, and SMS is charged per message by the gateway. With a thousand students it adds up fast. Decide which messages are worth sending, and ask whether the SMS account will be in the school's own name.

Questions that protect the school

  • Who owns the student data, and can we export all of it?
  • What happens to the software if we stop paying the monthly fee?
  • Is staff training included, and for how many people?
  • Will old fee and result records be moved in?

We build school and madrasah systems on a written quote, with the data and accounts in the institution's name. Tell us your student count, campuses and which registers you keep by hand today, and we will show what a first version should cover.
