Software for Hajj and Umrah Agencies: Pilgrims, Packages and Payments

5 min read

Serving the guests of Allah is a trust. A pilgrim has often saved for years, and a mistake with a passport, a payment or a flight is not a small error to them. Most agencies manage with files and Excel, and the pressure of the season is where those give way.

One record per pilgrim

  • Personal details, passport number and expiry date
  • Scanned documents and photos in one place
  • Registration and visa status
  • Package, group, flight and hotel
  • Mahram and family members travelling together
  • Every payment received and the balance due

Packages and instalments

Pilgrims usually pay in parts over many months. The system should issue a receipt for each payment, show the remaining balance at any moment, and list who is behind before a deadline arrives. A printed or SMS receipt each time protects both the pilgrim and the agency.

Groups, flights and rooms

Who is in which group, on which flight, in which hotel in Makkah and Madinah, sharing a room with whom, under which group leader. When this lives in one system, a list for the airline, the hotel or the group leader takes a minute to print and matches the others.

Keeping families informed

Most phone calls to an agency ask the same things: has the visa come, when is the flight, how much is left to pay. SMS updates at each stage, or a simple page where a pilgrim checks their own status, cut those calls and calm a lot of worry.

A clear website with packages, what each includes and your licence details brings enquiries you can trust. We build both the agency's website and the management system behind it.
