Microfinance Software: From Collection Sheets to a Live Ledger
The field officer collects instalments in the morning, writes them on a sheet, and the branch enters them in a register in the evening. By the time head office sees the numbers, they are days old. If a sheet is lost or a figure is miswritten, the member and the organisation remember two different balances.
What the software has to handle
- Members, groups (samity) and their collection day
- Loan products with their own service charge, term and instalment rules
- Savings: general, voluntary and term deposits
- Automatic instalment schedules and overdue lists
- Branch-wise and officer-wise recovery reports
- Accounts that update from every collection
Collection in the field
A mobile app for field officers changes the most. The officer opens today's samity, ticks who paid and how much, and the ledger updates. Many villages have weak signal, so the app must work offline and sync later. An SMS to the member after each payment removes most balance disputes.
Controls matter more than features
- Every edit and deletion recorded with who and when
- Loan approval by a second person, not the officer alone
- Day-end closing, so yesterday's figures cannot be changed quietly
- Roles: an officer sees only their own groups
Reporting to the regulator
Licensed institutions have to report to the Microcredit Regulatory Authority in set formats. Give your vendor those formats at the beginning, so the reports come out of the system instead of being rebuilt in Excel every period.
Moving existing loans in is the delicate step: every member's outstanding balance must match on day one. We plan that migration branch by branch and reconcile totals before going live.
